Using Dynamic User Type and Dynamic Group Type in Workflows
CampusGroups provides the ability to create workflows that dynamically adjust based on user input. This feature is particularly useful when setting up approval processes within forms and surveys. The Dynamic User Type and Dynamic Group Type allow for automatic assignment of users or groups to workflow steps, streamlining approvals and ensuring the correct individuals are involved in the process.
This guide walks you through configuring workflows using Dynamic User Type and Dynamic Group Type in CampusGroups.
A Form can only have 1 Dynamic User Type and 1 Dynamic Group type connection at a time. Multiple connections will cause Workflow setup to fail
Setting Up a Workflow with Dynamic User Type
Step 1: Creating the Workflow
Navigate to Manage your Group.
Go to Survey and Forms Tab > Workflow Tab.
Click Edit and Create Team.
Choose Dynamic Type > User.
Assign a Title and select the Transition Step.
Add the team members who need to be approvers.
Step 2: Configuring the Form
Open the relevant Survey or Form.
Select the User Selector Question Type.
While editing the question, navigate to the Advanced Tab.
Under Workflow Binding Settings, select Users.
Outcome: When a user is input into the form’s answer field, they will automatically become part of the workflow approval step.
Setting Up a Workflow with Dynamic Group Type
Step 1: Creating the Workflow
Navigate to Manage your Group.
Go to Survey and Forms Tab > Workflow Tab.
Click Edit and Create Team.
Choose Dynamic Type > Group.
Assign a Title and select the Transition Step.
Add the appropriate Groups Officers Position that will act as approvers.
Step 2: Configuring the Form
Open the relevant Survey or Form.
While editing the question, navigate to the Advanced Tab.
Under Workflow Binding Settings, select Groups.
Outcome: Based on who is selected in the workflow team will be added to the workflow approval process.
