A sequence is a trigger for your Workflow and all its associated actions. You can group any sequence and up to ten sequences together in a workflow. The multiple sequences can be independent of each other.

Create a Sequence

Once you have created a workflow, create one or more sequences. Here are the steps:

  • After Creating a Workflow, click the “+” button

  • Type a title and description for your sequence

  • Choose a trigger type

  • Set up one or more actions

  • Click Publish

Campus Cloud displays the sequence in Manage Workflows.

You can put up to ten sequences into a single workflow. Sequences within a workflow are not connected -- they run independently and can have independent triggers and actions.

Types of Triggers

Three types of triggers let you create sequences that take actions you specify, in response to students’ interactions with the app. 

Manual Trigger

Sequences created with a manual trigger do not run until you click the Run button, found next to the sequence name in Manage Workflows.

Scheduled Trigger

Scheduled Trigger runs runs at a specific date in the future. You can schedule a sequence to run once, or many times in the future (a recurring sequence).

Form Completion Trigger

Form Completion trigger happens when a user in a specific audience completes a form that you specify. The trigger happens when the user submits the form. The same trigger happens regardless of how the user responds to the form.

Keyword Mention Trigger

Keyword Mention in Community trigger happens when a user includes text that is an exact match of any keyword you listed in the Sequence. Keywords can be one or more words. 

Types of Actions

There are three types of actions you can perform in response to triggers.

This action can be paired only with the Keyword Mention trigger. If triggered, it displays the user's post or comment with your pre-written message attached.

Message Editor

The Message Editor lets you create a message for use with different actions. For example, you can create a message to post in a Community channel. Or, you can compose a message to be sent to a student after they complete a form. 

To use the message editor, click Add Message when creating an action within a sequence.

The Form Completion trigger lets you dynamically create messages based on a user’s responses: your message can dynamically change before being sent. This is similar to a “mail merge” feature that lets you send personalized messages to many different people without having to retype each message. 

You can use the following fields to dynamically create a message: 

  • User name

  • Form name

For example, you can create a message that addresses a student by their name, or makes reference to the form they just filled out. 

Edit a Sequence

  • In Manage Workflows, search for the sequence you want to edit, or view it in a workflow

  • Next to the sequence name, click “...” (more)

  • Click Edit

Campus Cloud displays the sequence editor where you can make changes to your sequence.    

Or, you can click a sequence’s name in the list to view details for that sequence, then click Editor. You will be taken to the sequence editor.

When saving any change to a sequence, you will be prompted to type a message explaining your change. This will be saved and displayed in the Change Log. For more information, see View a Record of Changes to a Sequence.

Note: 

You cannot change a trigger for a published sequence -- you must delete the sequence and recreate it to change a trigger.
