Location Tracking with QR Codes

Contact Trace Plus uses QR codes to identify physical locations on and around campus. A QR code is a square barcode that students can scan with the campus app. Using the QR Codes, the app records where a student was at a particular place at a particular time.

Make a Plan for where and how to use QR codes

You can use QR codes effectively by planning their placement on your campus. Before you start, you will want to:

  • Identify the locations and naming conventions for QR Codes

  • Identify the process for physically printing the codes and making them resistant to wear and tear

  • Identify the time needed to create QR Codes, print them, and post them around campus

Create QR Codes to represent locations on campus

After you know what QR Codes you need to let you effectively monitor students’ movements for contact tracing, the next step is to create the QR Codes.

Campus Cloud includes three options for creating QR codes:

Import Locations from the campus map

If your school has already set up locations on the campus map, you can use those to create a list of locations to use in contact tracing. 

  • Click Manage, then under Health and Wellness, click QR Codes

  • In the dropdown menu next to 'Create QR Code', click 'Import Locations'

Import Locations from a CSV file

Create many locations at once by entering them into a CSV file and importing the file. Here are the steps: 

  • Log in to Campus Cloud, then 'Manage' and click 'QR Codes'

  • In the dropdown menu next to “Create QR Codes,” click 'Import from CSV'

  • Browse to find the CSV file on your computer. Click OK to upload the file

  • Click 'Import'. Campus Cloud creates a location for each of the entries in the CSV file

Create a QR code manually

  • Log in to Campus Cloud, then 'Manage' and click 'QR Codes'

  • Click 'Create QR Code', type a name for the location

  • Choose your Attendance Type (“Check-in Only” or “Check-in and Check-out”). You can track the time students enter a location, or the time they enter and leave.

  • Set the status of the new location: Active or Inactive

  • Click “Save”

Download, Print and Post the QR Codes

After the QR Codes are created, here are the steps to download them:

  • Log in to Campus Cloud, then 'Manage' and click 'QR Codes'

  • In the dropdown menu next to 'Create QR Codes,' click 'Download QR Codes'.

This will download a PDF file for all your location QR codes at once. You can also click into a location and then download that location's QR code only as well. 

Print the PDF file. There will be one QR code per page. Post the printed QR codes at locations around campus for students to scan with the mobile app.

See a List of Students Checked into a Location

After the students scan the QR Codes, you can view the data by using the following steps:

  • Log in to Campus Cloud, then 'Manage' and click 'QR Codes'

  • Find your QR code in the list of locations

  • Click the location to see a list of everyone who checked into that location

  • [Optional] You can select a range of dates to filter the list of check-ins. Or, you can filter by experience (e.g., Students, Staff, Alumni) or by audiences (groups of students used when sending notifications).

Manually Add a Student to a Location

To check-in a student to a location, here are the steps:

  • Click 'Manage', then under Health and Wellness, click 'QR Codes'

  • Find your QR code in the list of locations

  • Click the location to see who checked into that location

  • Click 'Add check-in'

  • Type the person’s first and last name, and email address

  • Enter their check-in time, and [Optional] their check-out time

  • Click 'Save'

The student is added to the list of people who checked in at that location, for use in contact tracing and case management.
